This notice explains how we use personal information when you visit the GoGrantAid marketing website, ask for a demonstration, request pricing or contact our team. It does not replace the privacy notice provided by a council or other funder when you apply for funding through its portal.

## Who is responsible for your information?

GRANT MANAGEMENT SOFTWARE LTD, trading as GoGrantAid, is a company registered in Northern Ireland, number NI743067. Its registered office is 6 Bayview Terrace, Derry, Northern Ireland, BT48 7EE. We are the data controller for the website enquiries described in this notice.

## What information we collect

When you send an enquiry, we collect your name, work email address, organisation, enquiry type, any selected plan and the message you choose to provide. We also receive information you send in subsequent correspondence.

Our hosting and form providers process technical information needed to deliver and protect their services, such as IP addresses, browser information, request times and security events.

The contact form requires your name, work email and organisation so we can respond in context. There is no statutory obligation to submit an enquiry. You can contact us by email instead. Please do not include grant application evidence, financial account details or sensitive information about applicants in this marketing enquiry form.

## Why we use it

We use enquiry information to answer questions, arrange demonstrations, prepare pricing proposals and keep a record of relevant correspondence. Our lawful basis is legitimate interests: communicating with prospective customers and administering business enquiries.

We use necessary technical information to operate the website, prevent abuse and investigate security problems, relying on our legitimate interests in protecting the service. Where we must retain or disclose information to meet a specific legal obligation, we rely on that obligation.

Sending an enquiry does not subscribe you to a newsletter. We do not use this website enquiry process to make automated decisions that have legal or similarly significant effects on you.

## Who receives it

Access within our team is limited to Kieran and Mark for handling your enquiry. We use Cloudflare to host and protect the marketing website, Web3Forms to process and deliver form submissions, and Microsoft 365 to receive and manage correspondence. These services may use their own infrastructure providers and subprocessors.

Web3Forms identifies Web3Creative as its operator and describes itself as a processor for customer form submissions. Its privacy notice and processing agreement explain its infrastructure, spam-prevention services and handling of submissions:

Information may also be disclosed where necessary to meet a legal requirement or obtain professional advice about a dispute or legal obligation.

## International processing

Web3Forms states that it operates from India and uses infrastructure in multiple regions. Cloudflare also operates internationally. Website and enquiry data should therefore not be assumed to remain solely in the UK.

The providers’ published processing terms describe contractual safeguards for international transfers. Web3Forms’ agreement incorporates Standard Contractual Clauses and the UK Addendum where applicable. Cloudflare and Microsoft also publish data protection terms addressing international processing. You can contact us to ask about the safeguards relevant to your information or request further details. These arrangements do not mean that all processing takes place in the UK.

## How long we keep information

Our retention policy for unsuccessful enquiries held in our Microsoft 365 mailbox is up to 12 months after the last substantive contact. We may retain relevant correspondence for longer if it becomes part of an ongoing customer relationship or is needed to establish, exercise or defend a legal claim. In those cases, retention is based on the duration of the relationship, applicable legal requirements and the resolution of the claim.

Web3Forms currently states that submission data may be retained for a maximum of three years unless a shorter plan-specific period applies or it is deleted earlier. This provider-held copy is separate from our mailbox: deletion from our inbox does not itself delete a Web3Forms submission. Contact us if you want us to address a deletion request across the services involved.

If you become a customer, information needed to manage the relationship will be covered by the applicable customer arrangements and retention requirements. Technical logs are retained according to the provider's service settings and security needs. Retention depends on the service, the need to investigate a security event and any legal requirement to preserve evidence. Contact us for details relevant to your enquiry.

## Cookies and external links

The current marketing website does not add advertising pixels or optional analytics scripts. Hosting and security services may use necessary cookies or similar technologies to deliver and protect the website. If optional tracking is introduced, we will update this information and provide any required choices before it operates.

Our Facebook link takes you to a separate service. Facebook processes information under its own privacy arrangements when you visit or interact there; the link does not embed a Facebook feed or tracking pixel on this website.

## Your choices and rights

Depending on the circumstances, you can request access to your information, correction, deletion or restriction of its use. You can object to processing based on legitimate interests. Data portability applies where its legal conditions are met. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing.

You can also complain to the UK Information Commissioner's Office through the [ICO complaints service](https://ico.org.uk/make-a-complaint/) or to another competent data protection authority where applicable.

## Applying for a grant

For information submitted through a funder's application portal, read that funder's privacy notice and contact it about your application or data rights. The marketing enquiry form is not an application or assessment channel. GoGrantAid's role in processing portal information is governed by the relevant customer agreement.

## Changes

We will update this notice when our handling of information changes and show the revision date above. Where required, we will bring material changes to the attention of affected people.
